A Better Way of Doing Business!

SCSD is moving to a state of the art system called PeopleSoft. This new business information system will replace the current AS400 business information system. PeopleSoft will enable the end user (that’s you) by providing an efficient way of doing business in our financial and human resource areas. Increased efficiencies can translate directly into time and dollar savings for the district.

PeopleSoft FAQ’s

      1) What will happen March 1st 2010?

March 1st we go live with release 1 which encompasses Procurement, General Ledger, and Accounts Payable.  Once this happens all these processes will be on PeopleSoft and they will no longer be available in the AS400.

      2) What can I do March 1st?

You will be able to enter purchase requisitions into the system from the PeopleSoft online catalog.

      3) What do I do with paperwork like the travel request (excused absence) or consultant form(s)?

You will continue to use the current approval process for the paperwork.  The completed/approved forms will be forwarded to the BOVA Supply center where they will be entered as requisitions.

4) If BOVA enters a requisition for me, will I be able to see it?

Yes, you can see a requisition submitted by BOVA on your behalf.  The requisition will go through the requisition lifecycle which includes the approval process.

5) How do I submit a requisition for Special Program (grants) items?

The procurement process for Special Programs (grants) has not changed.  You will continue to submit your paperwork to the Special Programs department.

6) Do I put shipping and handling fees on the requisitions?

Shipping and handling fees may not be available to you at the time you create the requisition, however, if your order does incur shipping and handling fees, they will be charged to your budget.  You should ensure you have a sufficient budget balance to accommodate these fees.

7) Some items can be used as an office or as an instructional supply; will the catalog have more than one account per item?

Each item has one account chart-field set as the default, however, you may override the default by keying in the appropriate account in your chartfield string.

8) If an approver is out and delegates their worklist to another approver – will they    be able to see what delegated person approved?

No, the approver and the requester can view what has been charged to their budget in the Commitment Control module.

      9)  How will I know when my training has been scheduled?

You will receive a confirmation letter with the date(s) and time(s) that you have been scheduled for training. We are making every attempt to accommodate your preferences; however, due to the large number of responses, we may select alternate dates for you.

            10) Can we attend all the training classes scheduled in one day or do all classes have to be done on different days?

It is advisable for you to schedule all the classes you need to attend (They are listed on your form) for the same day.  If you review the calendar, we have tried to align the classes for you to do this.

             11)  Where are the classes being held?

Classes will be held in the IT Training room at the Institute of Technology @ Syracuse Central .  This will be confirmed on your registration confirmation notification.

           12)  How do I know that I have signed up for every course I will need?

The courses you will need are listed on your registration form.  The registration forms have been configured so that you do not miss a class.

             13) What does “Central”, “UAT” and “BOVA” mean when I see it on the calendar of courses?

The notation on the calendar “Central”, “UAT” and “BOVA” indicate these classes are structured for Central Office and BOVA staff.

            14)  Why doesn’t the Submit by Email and the Course Calendar button work on my registration form?

If you open the registration form on a MAC, you may lose some functionality.
